Frequently Asked Questions

Below are a listing of frequently asked questions (FAQ) regarding our pivot back to in-person programming.  This FAQ listing will be updated periodically based on attendee feedback.

What You Need to Know

  1. Are we requiring vaccination or proof of vaccination status for attendees? Are we requiring faculty to be vaccinated? 
    Yes, AHLA is requiring that all attendees are vaccinated. Registrants will receive information about how to submit proof of vaccination.  
     
  2. Is AHLA requiring proof of a negative COVID test 72 hours in advance of in-person program?
    No, we are not requiring a negative COVID testing from attendees. A negative test result does not substitute for being vaccinated and cannot be submitted in place of proof of vaccination.  

    As outlined in the Duty of Care (seen below at the bottom of this page), attendees should not attend the program, if they have tested positive for COVID-19, are displaying symptoms or have been exposed to someone who has tested positive for COVID-19. 
     
  3. Is AHLA doing temperature checks of onsite attendees and staff?
    No, we will not do temperature checks for attendees or staff.   

    Attendees are responsible for monitoring their own health and by signing to the Duty of Care (seen below at the bottom of this page), agree to not attend the program if they have tested positive for COVID-19 within 10 days of the program, are displaying symptoms or been exposed to someone who had tested positive.
     
  4. Will AHLA require all attendees and staff to wear masks while it the meeting space? 
    Yes, given current guidance and vaccination rates, we will, out of an abundance of caution, require attendees and staff to wear masks.
      
  5. What safety measures are in place at the hotel? 
    On each program website, we will include more information on each of the hotel's safety protocols. Please check the Hotel Information menu item above to learn more. 
     
  6. Are we offering guest registration?
    There is not a guest registration fee at this time. If, however, an attendee will be bringing a guest to the conference area, the guest must be vaccinated.  
     
  7. What if I’m not vaccinated or can’t attend a program and want access to the program content?
    AHLA will have an eProgram available approximately 4-6 weeks following each program. The eProgram contains the audio recordings and written materials of all sessions that take place at the in-person program in addition to the video recordings and written materials of all sessions that are released as the virtual component of the program. Continuing education credits (CLE, CPE, CCB) are available for the sessions on the eProgram that you complete. 

Duty of Care

AHLA considers the health and safety of all those onsite at in-person programs our top priority. During these challenging times, AHLA is committed to providing a safe and healthy environment for all of our in-person programs participants and staff.  Although attendees should recognize that there is risk involved in attending, AHLA has  adopted preventative measures to reduce the potential spread of the COVID-19 virus at our in-person programs in accordance with guidance provided by the U.S. Centers for Disease Control and our partnering hotels. AHLA staff have been trained, and will continue to train, in the knowledge necessary to monitor, enforce, and handle compliance with safety protocols and procedures.  

Our Duty of Care is a living document that will continue to evolve, incorporating innovative features that will further enhance the onsite experience and safety for everyone in attendance. We will also update this document as the CDC and/or state or local public health authorities’ guidance is updated or changed.

Attendee Check-In 

AHLA has adopted a new onsite registration system by providing seamless, touchless check-in, onsite badge printing, and safety supplies to all attendees to use while in attendance.

  • Attendees will be given a personal QR code to use for registration check-in.  
  • AHLA will provide plenty of check-in kiosks arranged so that attendees can be socially distanced, appropriate signage, and extra time during the program to check in to keep crowds to a minimum. 
  • Safety supplies will be provided to each attendee, including a mask, individual hand sanitizer, wipes, a pen, and a safety information card for use during the program. 

In Partnership with our Conference Hotels, We Will Provide: 

  • Responsible food and beverage options
  • Socially distanced seating arrangements in breakout rooms  
  • Regular cleaning in and around the meeting space 
  • Appropriate signage/floor decals to reinforce spatial distancing and other safety reminders 

Additional Safety Procedures 

  • We will be providing every attendee with a bar code on their badge for CEU tracking for contactless session check-in and checkout. 
  • Extended break times built into the schedule for attendees to network, move in and out of ballrooms, and personal time. Our goal is to reduce crowding near ballroom entrances, restrooms, and elevators.   

Personal Accountability Commitment and Code of Conduct 

By attending any of AHLA’s in-person programs, you agree to abide by and engage in certain health-and-safety-beneficial conduct while attending the program. All attendees are expected to comply with all applicable requirements imposed by federal, state, or local health authorities for the locality in which the in-person program is taking place, and in addition to our Code of Conduct, are expected to adhere to and abide by the safety precautions AHLA has implemented to protect against the spread of COVID-19 such as:

  • Proof of vaccination required for all attendees prior to the conference
  • Mask wearing required for all attendees
  • Social distancing 
  • Personal hygiene and hand sanitization 
  • Adherence to pathway signage 
  • Self-monitoring and self-reporting 

You should not attend an AHLA in-person program if you are experiencing, or within the 10 days prior to the program have experienced, symptoms associated with the flu or COVID-19. You also should not attend if you believe that you may have been exposed to a confirmed or suspected case of COVID-19 or have been diagnosed with COVID-19 and are not yet cleared as non-contagious by state or local public health authorities or the health care team responsible for your treatment. In addition, attendees should self-monitor for signs and symptoms of COVID-19 and are asked to contact AHLA at [email protected] if they experience symptoms of COVID-19 within 10 days after participating in an in-person program. Any private health or personal data that may be received by AHLA in connection with such measures and precautions will be treated as confidentially as possible.
